Privacy Policy
How we collect, use and protect your personal information. Last updated 25 June 2026.
1. Who we are
This website is operated by Clearance Traders ("we", "us", "our"), trading as [CONFIRM: legal entity — e.g. Clearance Traders Ltd / sole trader name], based in Wolverhampton and operating across the West Midlands. We are the "data controller" responsible for your personal data.
Registered/trading address: [CONFIRM: trading/registered address].
Contact: [email protected] · 07354 336593.
ICO registration number: [CONFIRM: ICO registration number once registered].
We handle your personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
2. What information we collect
We only collect what we need to quote for and carry out clearance work and to run our business. This may include:
- Contact details — your name, phone number, email address and the address/postcode of the property to be cleared.
- Enquiry details — information you give us about the job (property size, contents, timescales, access) including any photos you choose to send.
- Correspondence — messages you send us by phone, WhatsApp, email or our website form.
- Transaction records — quotes, invoices, payments and the Waste Transfer Notes we are legally required to keep.
- Website data — basic technical information collected by our web server (such as IP address and pages visited) for security and to keep the site running. See our Cookie Policy.
We do not intentionally collect "special category" data. Please don't send us sensitive personal information unless it is genuinely necessary for the job.
3. How we use your information and our lawful bases
| What we do | Lawful basis (UK GDPR) |
|---|---|
| Respond to enquiries and provide quotes | Legitimate interests / steps before entering a contract |
| Carry out the clearance you have booked | Performance of a contract |
| Take payment and keep accounting records | Contract and legal obligation |
| Keep Waste Transfer Notes and meet duty-of-care rules | Legal obligation |
| Keep our website secure | Legitimate interests |
| Send you marketing (only if you have agreed) | Consent |
Where we rely on legitimate interests, our interest is in running and promoting our clearance business; we balance this against your rights and only use your data in ways you would reasonably expect.
4. Marketing
We will only send you marketing if you have asked us to or otherwise agreed. You can opt out at any time by replying "STOP", emailing us, or telling us on the phone, and we will stop.
5. Who we share it with
We do not sell your data. We share it only where necessary, with:
- service providers who help us run the business (for example email, phone, payment and accounting providers) acting as our "processors";
- licensed waste and recycling facilities, where required for disposal and duty-of-care records;
- professional advisers, insurers, or authorities where we are legally required to do so.
Some of these providers may process data outside the UK. Where they do, we take steps to ensure your data is protected by appropriate safeguards as required by UK data protection law.
6. How long we keep it
We keep enquiry information only as long as needed to deal with your enquiry. Records relating to completed jobs (invoices, Waste Transfer Notes and related correspondence) are kept for as long as the law requires — generally at least six years for tax and duty-of-care purposes — and then securely deleted or destroyed.
7. Your rights
Under UK data protection law you have the right to: be informed about how we use your data; access a copy of it; have inaccurate data corrected; have data erased in certain circumstances; restrict or object to processing; and data portability. Marketing can be objected to at any time.
To exercise any of these rights, contact us at [email protected]. We will respond within one month. There is normally no charge.
8. Keeping your data safe
We use appropriate technical and organisational measures to protect your information, and we limit access to those who need it to do their job. No method of transmission over the internet is completely secure, but we take reasonable steps to protect the data you send us.
9. Complaints
If you have a concern about how we handle your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator, at ico.org.uk or on 0303 123 1113.
10. Changes
We may update this policy from time to time. The current version is always published here with the "last updated" date above.
